Receptionist/Reservationist

 

 

Job Description:

Maternity Cover – 12 months – Start date June 4-5 days a week. This position is initially offered as maternity cover for approximately 12 months. However, we would ideally like to retain the successful candidate beyond this period if staffing levels allow, or potentially offer opportunities to move into another department within the hotel.

We are looking for a professional and enthusiastic Receptionist / Reservationist. This is a fast-paced, guest-focused role where excellent organisation, multitasking skills, and a positive attitude are essential. The successful candidate will be the first point of contact for our guests and will play a key role in delivering exceptional customer service while managing reservations for up to 56 rooms and front desk operations.

Shift work and weekend availability are essential. Shifts vary however are likely to be 7-3.30pm, 9.30-6pm and 1.30-10pm.

Key Responsibilities

  • Welcoming guests on arrival and providing a friendly, professional check-in and check-out experience
  • Handling reservations via phone, email, online travel agents, and walk-ins
  • Managing room availability, rates, and bookings to maximise occupancy
  • Updating and maintaining accurate guest information and booking records
  • Processing payments, deposits, and invoices in accordance with hotel procedures
  • Responding to guest enquiries and providing information about hotel services, facilities, and the local area
  • Coordinating with housekeeping and maintenance teams to ensure rooms are ready and guest requests are met
  • Handling guest feedback, queries, and complaints promptly and professionally
  • Managing group bookings and special requests
  • Monitoring daily arrivals, departures, and room allocations
  • Assisting with administrative tasks including reports, filing, and reservation confirmations
  • Ensuring the reception area remains tidy, organised, and welcoming at all times
  • Supporting other departments where necessary to ensure smooth hotel operations

Skills & Experience

  • Previous experience in a hotel reception or reservations role preferred
  • Ability to work efficiently in a very fast-paced environment while managing multiple tasks
  • Excellent communication and customer service skills
  • Strong organisational and problem-solving abilities
  • Good computer literacy and attention to detail
  • Experience with Guestline PMS and ResDiary is preferred but not essential
  • A professional appearance and a positive, team-focused attitude

  • Flexibility to work varied shifts, including evenings, weekends, and holidays
  • Ability to remain calm and professional under pressure
  • Reliable, punctual, and able to work both independently and as part of a team
